Administrative Assistant

 

The Ezralow Company is a well-established real-estate development and property management company located in Calabasas, CA.  As an employer, we believe our employees are our greatest asset!  We are currently looking for an experienced Administrative Assistant to provide support to the Investment Manager.  This is an excellent opportunity for those who are interested in expanding their career in office administration and/or accounting. 

 Job Duties

§ Process payroll for approximately 100 employees using ADP Pay eXpert including data entry, allocation of payroll charges, monthly workers comp reporting, Section 125 and 401(k) reporting.

§ Manual calculation of pay including but not limited to manual checks and retroactive pay increases. 

§ Prepare monthly household payroll tax deposits

§ Prepare quarterly and annual payroll filing for household payroll

§ General Office Duties including: fax documents, open, sort and distribute incoming correspondence, photocopy documents, organize and maintain files, and computer data entry.

§ Coordination of tax return processing: mail out tax return package and track certified mail receipts

§ Assist with preparation of annual tax returns

§ Preparation and organization of investment related paperwork from banks and brokers

§ Data entry of all brokerage accounts including research of buys/sells, interest dividends, etc.

§ Prepare and send correspondence

§ Internet delivery systems including: Federal Express, USPS and California Overnight

§ Organize interoffice trays and deliver interoffice mail for the Investment Manager

§ Continual organization of files, cabinets, and tax returns.

 

Qualifications

§ Excellent verbal and written communication skills

§ Bachelors Degree Required

§ Minimum of 2-4 years of experience as administrative assistant

§ 2 years prior payroll experience required

§ Prior knowledge of investment and accounting related activities strongly preferred

§ Ability to perform confidential responsibilities with marginal supervision, using a high level of professionalism

§ Computer Literate (MS Word, Excel & Outlook, with and advanced knowledge of internet navigation) and minimum of 50 wpm.

§ Detail oriented with the ability to multi-task

§ Knowledge of special delivery systems including: USPS Express Mail, Certified Mail, Federal Express, UPS, California Overnight

§ Intermediate knowledge of general office equipment including: 10-key, copy machines, fax machines, typewriters, and scanners.
