Payroll Clerk

EDUCATION and EXPERIENCE:

 

Thorough knowledge of a specialized field such as payroll.  High School education plus additional broad specialized training equal to 2 years of college and/or 4 years equivalent work experience combined with some post high school education. Extensive knowledge of payroll functions including tax and spreadsheet preparation. Intermediate to advanced knowledge of database, spreadsheet and word processing software.  Intermediate to advanced data entry skills.  3 to 5 years ADP payroll experience.  ADP enterprise software experience a plus.

 

DUTIES:

 

Work under the general direction of Manager, General Accounting with limited supervision and is responsible for processing multiple payrolls. Compiles payroll data to maintain payroll records and process weekly, multi-company payroll.  Additional cross training into areas other than payroll is required so that adequate backup is provided in the absence of accounting personnel.  Duties include, but are not limited to:

 Process payroll and maintain various payroll files, data, and registers; prepare related check requests for regular payroll, payroll taxes and employee deductions. Prepare reports as requested by management; interface with Human Resources and Information Technology (IT) at year end in processing W-2 forms, unused personal time and/or vacation time payout, interface with auditors, exercising judgment when responding to audit and regulatory inquiries.Receive payroll data from the Human Resources Dept., Fidelity, credit union and/or individual employees; verify accuracy and applicability and process for action; update payroll records in a timely basis.  Maintain accurate and auditable records.Make necessary pay adjustments for payroll corrections, sick leave extensions, wage garnishments, savings bond purchases and good government donation deductions.  Prepare forms for transfer of funds to payroll account, ADP for taxes, garnishments and good government fund.Maintain log for collection of unpaid health insurance.Make necessary changes to employee thrift & retirement plan (401-K) percentages to comply with nondiscrimination test for highly compensated employees.Prepare periodic reports such as disability salary history, wage garnishments and gross pay.Address employee inquiries and refer to Human Resources for interpretation and/or clarification of Human Resources policies, as necessary.  Report unusual circumstances to supervisor.Prepare and maintain various accounting journals, worksheets, rates and charges. Serve as backup for weekly time and attendance (CA 27) transactions:  labor journals, labor corrections, material/labor reports, and status summary report.Perform similar and related duties as directed or required.Maintain productive and quality standards as determined by supervision.  Follow standard departmental and company procedures and practices as outlined by management.Maintain a clean and orderly work environment and follow all safety regulations.
