Purchasing Administrator

GENERAL SUMMARY:
This position is responsible for purchasing hardware, software, and other miscellaneous items and services required by LMI (e.g. building services, training, etc.).
PRINCIPAL DUTIES AND RESPONSIBILITIES:
(Essential Job Functions)
* Consult with Corporate Information Systems, Facilities, Human Resources, and other departments to identify requirements for hardware, software, and other miscellaneous items or services.
* Identify sources of supply, request and analyze proposals, and place orders for hardware, software, and other miscellaneous items or services as required by LMI.
* Maintain relevant documentation in purchasing files, including purchase orders, related contracts, invoices, receipts, credit card purchases, and other vendor information.
* Coordinate with Office Services and end user for delivery.
* Coordinate with Contract Administrators for direct charge purchases.
* Troubleshoot problems and respond to requests from staff members regarding hardware, software, and miscellaneous items and services, with respect to organizational priorities and practices. Coordinate resolutions with vendors as necessary. Keep staff members aware of resolution status and timeframe
* Perform special projects at the request of the Supervisor, Subcontracts and Purchasing. Plan, organize and implement requested projects; coordinate with necessary staff to verify project time-lines and schedules. Independently seek out relevant information and screen for applicability to assigned projects.
* Coordinate with other Purchasing Administrators to ensure all purchasing responsibilities are fulfilled. Serve as back-up to Travel & Supply Purchasing Administrator.
* Maintain knowledge of basic technical information, cost, and quality of regularly purchased items.
* Heavy use of telephone to interact with LMI staff at all levels of the organization, as well as with clients and vendors.
* Attend department, project, and team meetings.
* Maintain regular attendance.
KNOWLEDGE, SKILLS AND ABILITIES:
* High school diploma required
* One to three years progressively responsible purchasing experience in a business environment.
* Associates Degree in Business Administration or related college courses preferred.
* Knowledge of purchasing practices, include payment terms, delivery terms, warranties, software licenses, and maintenance agreements is required.
* General knowledge of contract terms and conditions including the FAR and DFAR is required.
* Proficiency with Microsoft Office 2007 or later, primarily Word and Excel and Outlook
* The ability to use Web-based ordering systems thru the Internet is required
* Excellent command of English grammar with strong verbal and written communication skills required.
* Must be able to compose, edit, and proofread a variety of internal and external general business correspondence.
* Must have strong time management skills and be able to coordinate and prioritize multiple projects and assignments with little supervision.
* The ability to work effectively in a deadline oriented environment is essential.
* Candidate must be eligible to obtain a security if required.
* Candidate must be able to work for extended periods of time on PC with heavy use of keyboard to execute tasks.

INTERNAL/EXTERNAL RELATIONSHIPS:
This position reports to the Supervisor, Subcontracts and Purchasing. Extensive interaction with all levels of LMI staff and vendors.
