Purpose:
The Manager, Ride for Heart Event Production & Experience is responsible for developing and delivering an event operations plan for the Ride for Heart.​ In particular, they will lead event delivery through increased focus on: event logistics, customer service, event execution, volunteer recruitment & management and sponsorship deliverables for the Toronto location.​

Key Accountabilities:
Event Production & Experience

Manage event operational requirements for Ride for Heart
Create consolidated detailed event plan across all event operational components
Work with Supply Chain (SCM) to ensure proper execution of complex event logistics and deliverables (materials, incentives, sponsor product)
Work with Corporate Development to ensure proposed sponsorship deliverables can be executed successfully
Manage and lead the development of short and long term operations plans for the Ride for Heart
Manage the Ride for Heart event team ensuring all event operations and customer service plans are successfully executed
Manage key Ride for Heart relationships including Suppliers, venues and City of Toronto key influencers (Council, committees)
Help to create a memorable and meaningful experience for event participants and volunteers
Help to create an event experience that will maintain and/​or improve participant and volunteer satisfaction and retention
Help to ensure the event experience engages participants and volunteers with our mission and inspires their commitment to the Ride for Heart and the Heart and Stroke Foundation of Ontario

Human Resources Management

Lead the development of a highly effective team, ensuring high standards of delivery, competence and Foundation values are maintained and that staff is well supported in fulfilling their accountabilities, developing their skills and achieving their career potential.​ Specifically:
Providing clear direction on business goals and priorities; ensure optimal deployment of resources to achieve business goals
Establish team performance plan; build a strong team and develop cohesive lateral relationships cross functionally.​
Establish individual performance plans and objectives and review on an ongoing basis; provide coaching and feedback to direct reports.​
Inspire and lead staff through effective people management including goal setting, development, coaching and performance management.​
Work with external partners, consultants and associated volunteer advisory groups/​committees to engage required expertise and direction in developing and/​or implementing plan.​


Operations, Business Planning and Budget Management

Input into the overall Ride for Heart business review and plans and lead the development of the event production and experience components
Manage day-to-day relationships with operations suppliers
Source, select and contract with outsourced event suppliers required to support program execution
Lead the development of plans to centralize the procurement and management of standardized event supply/​equipment requirements where appropriate
Develop and manage Ride for Heart operations budget

Internal Customer Service and Communication

Lead the development of the customer service plan that will provide internal and external service providers with the process and information required to effectively respond to each Ride for Heart donor, participant and volunteer.​
Manage responses to event related information seekers through various channels (specific websites, phone, outside suppliers).​ Work closely with Facilities Manager to provide streamlined services for event information seekers (reception, phone in, web); provide input into developing streamlined solutions
Trouble shoot and problem solve for internal and end user customers (escalated queries)

Key Challenges/​Constraints:

Ensure the unique needs of three participant segments plus volunteers are met while maintaining margin goals
Manage highly complex event operations for medium and large scale events with significant peak periods at multiple execution points
Make independent and immediate critical decisions with time constraints
Multiple key stakeholder relationship management, both internal and external
Ability to trouble shoot and problem solve in complex and diverse situations

Accountability Dimensions:

Toronto Ride for Heart operations budget management direct cost; Support to revenue goal of approximately $5 million
Scope – 1 to 2 key cities in Ontario in addition to Toronto
Direct reports – 1

Other Requirements:

5 to 7 years experience in event management or project management
University or College degree; certification in event management a plus
Exceptional planning, event management and project management skills
Exceptional problem solving and negotiation skills
Supplier management and contract agreement experience
Keen sense of urgency and exceptional ability to think and respond quickly
Proven customer service skills and demonstrated relationship building skills
Budget and people management experience
Flexibility and ability to adapt to change
Occasional weekends – especially as key event days come up
