POSITION SUMMARY

This job exists to serve as a clerical position for the Accounts Payable area within Financial Controls.  The A/P Accounting Associate is primarily responsible for the daily review of expense reports; daily review and processing of policy related disbursements and other A/P disbursements, for obtaining signature card documentation for the disbursement authorization database and for providing A/P related customer service.  This position performs daily balancing of journal entries, voids and stop pays, claims checks, and disbursements issued through Mantis and GEAC A/P systems. In addition, this position offers assistance regarding the Concur reimbursement system, the travel and entertainment policy and other A/P processes and issues.  The immediate supervisor and other A/P associate will provide training for job duties.

 

PRIMARY DUTIES/ACCOUNTABILITIESRelease checks and ACHs in Mantis A/P system, while checking disbursement authority against disbursement authority database.Process check requests and bank wires for vendors, policy related disbursements, and other disbursements, while checking disbursement authority against disbursement database.Assist with research of outstanding checks and with check related questions or providing check copies.Maintain records for disbursement authorization database and act as primary liaison between Corporate A/P and onsite employees.Review expense reports online in Concur system and provide customer support for employees regarding system use and history for report documentation.Prepare daily balancing for uploads and disbursement related processes such as claims checks, voids and stops, and other departmental policy disbursements.Other duties as assigned by management.

 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Education and/or Experience:Requires High School Diploma At least one year of A/P or accounting related experienceProficient with Microsoft Office applications

 

Equipment/Physical Demands/Environment:This position is located in an office clerical environmentPunctual and regular attendance is a requirement of the position
