Mailroom Clerk
General Purpose of Job:
The Mail room Clerk is responsible for picking up, sorting and zip mail open. This position will also put away mail, batch client invoices according to client’s specific requirements and then return clients paid invoices to them.
Duties and Responsibilities include the following. Other duties may be assigned:
Ø Pick up and Deliver mail using company vehicle from/to US Post Office.
Ø Open incoming mail and sort by Customer, Department, or Employee based on mail addressee information.
Ø Open, staple, and unfold Customer/Department mail and place mail in alphabetical order by mailed by party in groups/batches of 1-100 documents.
Ø Deliver opened mail and batches to Departments and Employees within the building.
Ø Operate in-house mail machine to stamp postage and seal outgoing mail.
Ø Operate in-house Fedex and UPS machines to weigh and stamp outgoing packages.
Ø Separate Customer mail labeled “Past Due”. Take “Past Due” mail and verify on company’s mainframe if payment has been made or if mail should be delivered internally for processing.
Ø Assemble and mail out weekly “Packaging” of Customer mail with reports and correspondence.
Ø Assemble “Rejected/Return” mail to Customer and Vendors with printed forms from company’s mainframe system. Mail out weekly to the Customer/Vendor.
This position is REQUIRED to work Every other Saturday from 9am-1pm.

Previous Work Experience:
Normally zero to four weeks of previous work experience is required to meet job standards.
Education or Experience:
This position can have less than high school education; or zero to four weeks of related experience and/or training; or equivalent combination of education and experience.
Language and Communication Skills:
This position must possess the ability to read and comprehend simple instructions, short correspondence, and memos. The Mail room Clerk will write simple correspondence. This position will effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills:
This position will add and subtract two-digit numbers and multiply and divide with 10’s and 100’s. The CPC Clerk will perform these operations using units of American money and weight measurement, volume, and distance.
Reasoning Ability:
Ability to apply common sense understanding to carry out detailed but uninvolved written and oral instructions. This position will deal with problems involving a few concrete variables in standardized situations.

Work is performed in accordance with specific procedures, but the position must set priorities, organize, and make occasional exceptions.
Analytical Ability Required to Gather and Interpret Data:
Little for no analytical ability required. Any analysis done involves simple comparisons between numbers, letters, etc.
On-the-Job Experience:
To attain satisfactory performance standards under normal supervision, three months to one year of experience on the job is normally required.

While performing the duties of this job, the employee is regularly required to sit, talk or hear, use hands to finger, handle or feel objects. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 70 pounds.
Work Environment:

While performing the duties of this job, the employee will perform the job standing, handle materials or parts weighing up to 12 pounds during a major portion of the shift. This position will perform the job sitting or with intermittent standing walking. The noise level in the work environment is moderately loud.
Vision requirements include close vision with clear vision at 20 inches or less and distance vision with clear vision at 20 feet or more. This position may experience a low level of visual fatigue due to the infrequent or moderate interaction with computers. Safety:Equipment and Related Materials:
The employee has a moderate level of responsibility for the equipment and materials used, the value of which is normally over $10,000.
Safety of Others:
A moderate level of caution or attention is required to prevent injury to other workers.
Associated Hazards:
The employee is not likely to have accidents and/or health hazards. It is possible that the employee will receive minor injuries such as bruises, cuts, and burns, scratches or sprains.
Personal Protective Equipment (PPE) Requirements:
No PPE is require, however office furniture is addressed for any ergonomic related concerns.
Other Requirements of the Job:
Completion of internal training modules, skill level program, or other training programs may be required.
Computer Proficiency: Basic proficiency on e-mail, spreadsheet and word processing software required; must be able to view, read, and send e-mail; create, edit and print basic spreadsheets; and create, edit, and print documents.
Travel: This position must possess a valid Wisconsin driver’s license and may travel occasionally using company vehicle or personal vehicle, with mileage reimbursement per company policy.
This position requires teamwork and personal interaction with others and supervisors.
